Executive Assistant 98286BR Job Description Position Summary Reporting directly to the EVP Qatar the Executive Assistant provides executive and administrative white-glove support to ensure the flawless running of the EVP office. Main Responsibilities Provide support to the EVP in delivering Qatar Shells overall strategic objectives.
Provide exceptional administrative services including effective diary management, scheduling meetings, teleconferences, organizing travel and travel itineraries, correspondences and filing.
Coordinate and prepare weekly QSMT, monthly QSLT and quarterly Country Coordination meetings and the preparation of minutes and tracking of actions.
Support records management of key internal and external information.
Coordinate and prepare for quarterly Pearl Management Committee meetings, including preparation of pre-read and presentation material, attendance of meetings, minute taking and follow up. Preparation of circular Pearl MC resolutions and obtaining MC approval.
Implement an annual stakeholder engagement calendar and ensure that regular meetings are arranged (Tier 1 / CEO / Ministerial level / QP EVP level) working closely with ER/GR.
Development of an EVP / Country Chair generic Qatar Shell slidepack for use in out of country engagements, ensure that the pack is kept evergreen.
Prepare and collate the monthly Executive Committee (EC) highlights for Qatar that are presented at monthly EC meetings through engaging local business leaders on their relevant parts of the business for input.
Lead in the coordination of all Executive Committee and Executive Vice President visits to Qatar, including arranging all stakeholder engagements, logistics (hotel, transport visas etc), the preparation of briefings and any other ad hoc issues that may arise. Special Challenges As the first point of contact for the EVP Qatar the successful individual needs to ensure a flawless image of the EVP office is maintained at all times.
Visibly support the EVP in pursuit of a robust Goal Zero Safety Culture (I am Goal Zero).
Be an active member of the annual Qatarisation Celebration event organizing committee (ensure a strong connection to the EVP office).
Manage and process expenses and track accordingly.
Ensure that any Gifts and Hospitalities received are tracked and robustly registered.
Administer the QSLT sharepoint site and ensure the corporate calendar is kept up to date.
Accuracy and reliability are crucial, given the critical nature of external meetings.

10 years of relevant experience as a PA to an Executive.
Excellent English language skills (written and verbal).
Excellent communication skills.
