Job Description

JOB SUMMARY Undertakes general and specialized administrative support within the HR Resourcing team, Supports designated Line Manager in coordination, selection and recruitment administration for staff recruits. Maintains recruitment related records, general HR records and filing. Prepare documents, interviews schedules and correspondence. Checks recruitment related invoices and expenses and requests payments, stationary or purchase orders as required. Coordinate between overseas agencies, Passport & Visa Divisions, the travel desk and appropriate business divisions to bring overseas recruits into property. Receive international and external queries and channels information appropriately.
CORE WORK ACTIVITIES Local & Overseas Recruitment - Communicates as necessary with local & overseas recruitment agencies for candidates screening, shortlisting, interviewing, selecting, progress updates and finalizing the logistics of candidates arrival into property. Candidates Management - Schedule, arrange, coordinates and distributes interview schedules of candidates to line manager and departments heads as well as arranging transport and hotel reservations as per grade of candidate if necessary. New employee Administration - Prepares staff offer letters and liaises with assigned Division to gain understanding to the detail and their signed agreement to the content before sending. Administrative Support - Maintains recruitment reports, recruitment activities reports, recruitment files and employee personal files until the date the employee joins, after which they are forwarded to assigned payroll.
JOB SPECIFIC TASKS Collect process & communicate relevant data in a timely manner, prioritizing where necessary. Work with the Line Manager, HR & Line Managers to obtain the manpower requirements for the area of the Business for which they are responsible. Record & document this information & store centrally on network. Ensure that all roles are advertised on the company career web site. Ensure that all costs & paperwork associated with vacancies are recorded accurately throughout the recruitment process. Complete all required administrative tasks on time to ensure the successful implementation of manpower planning & vacancy advertising. Responsible for reviewing selection process & update as agreed, & ensure that selection tools are always current & relevant. Complete all required administrative tasks on time to ensure the successful implementation of selection processes. Ensure all recruitment is completed on time for the business, for example stores are fully staffed for new store openings. Ensure all activity is delivered within budget. Ensure all new joiners start on time & with all the necessary paperwork completed correctly. Responsible of the selection, recruitment and staff administration for designated areas of the Business. Required to work with job boards, maintaining recruitment related records including all costs & records of those recruited. Required to devise & implement the best attraction strategy deciding on an appropriate mix of local, GCC Middle East & Overseas activity. Required to manage those recruited through the joining experience to ensure they have all the necessary information & that they arrive to start work on time. Ensure department complies with company, local market & legal, policies, procedures & guidelines. Ensure all recruitment activity complies with local Labor Laws & follows the correct processes regarding medicals & visa. Create & maintain accurate files & reports. Confirm that all required paperwork is in order so that the recruitment of staff can commence. Plan & implement Open Days, Overseas Trips in a timely fashion with the recruitment target date always in mind.
