Responsibilities Managing the teams diaries Typing and formatting CVs of newly registered candidates and updating CVs of existing and working candidates Maintaining and updating candidate and client database, both on computer and manually Take responsibility for keeping in touch with candidates, remaining in close contact with candidates who may be looking to change jobs in the next 12 months Constantly monitor the candidates on the database to ensure availability is kept updated Telephone screen candidate enquires. Adhering to a 24hr turnaround time for screening applicants, advertising response, reference checking Booking candidates for interviews Attain comprehensive and in-depth knowledge of the clients organisation, culture and resourcing requirements to create company maps/profiles in database form for headhunting purposes Producing and distributing confirmation contract letters, change of rate letters and updating the database accordingly Assisting with arrangement of candidate drinks evenings, sending out invitations, collating RSVPs and producing a spreadsheet of results using Excel Compiling job descriptions and posting new jobs onto job vacancy websites Producing various reports on a weekly/monthly basis for distribution to managers Producing thirds letters for distribution to unsuccessful candidates Answering incoming calls and taking accurate messages Scanning and attaching electronic documents to candidate files on the database and ensuring all information is uploaded accurately Issuing references for registered candidates and following up as necessary to obtain information Participating in and initiating ad-hoc team projects when required Keep stock of stationery and order when required Order Business cards Ad hoc secretarial & admin duties Assist with international staff relocations and visa applications Actively promote and continue to build the reputation of the company brand in the market place.
