Job Description

To be accountable for the overall planning, implementation, and optimization of warehouse and materials control activities
Provide leadership and professional guidance in delivering highly end-user focused and cost-effective services that meets the companys needs
Apply Admin and operating procedures in receiving, stacking, and distribution of goods
Safeguard the companys assets, premises and ensure the safety of the employees

Key ActivitiesTasksDuties
o Lead, manage, direct and develop the warehouse team members
o Develop and gains approval for organization structures and manpower plans to meet operational requirements and objectives
o Recruit, hire, supervise, performance manage, motivate and appraise the team members to deliver the warehouse department goals
? Set employees performance goals that are derived from the departments KPIs
? Provide necessary coaching to employees during the performance cycle
? Evaluate appraise the employees performance periodically
? Set the employees development plans at the end of the performance cycle
o Provide guidance on warehousing approaches and standards, and lead the teams capacity development
o Provide all necessary support to the warehouse department team and help resolve all issues and conflicts that may arise as a result of the day-to-day operations
o Manage meetings with department staff to distribute monthly tasks
o Provide leadership, expertise and professional advice to the Supply Chain Manager and General Manager on warehousing matters to ensure business objectives are supported with the right warehousing strategy
o Is accountable for the overall planning, implementation, and optimization of all warehouse and materials control activities and support required by end users, from materials receipt and storage through to distribution
? Oversee the proper arrangement and stacking of goods in the sections and divisions
? Develop operating regulations for receiving goods as per schedules and to create alternative plans to receive delayed goods
? Adhere strictly to FIFO principle
o Confer with department heads to coordinate warehouse activities, such as sales, records control, or purchasing
o Initiate development of, and recommends approval for procedures and systems that facilitate the achievement of enhanced efficiency and cost effectiveness and ensure the integrity of all materials data
? Implement the approved procedures in dealing with sales return
? Arrange an area for receiving branches return goods, and restacking them and reporting the same to the management
? Implement the companys procedure for documenting, invoicing and dispatching of goods with accurate and safe archiving system
? Supervise office activities, clean disk policy to ensure accurate process of all paperwork and documentation
o Commission continuous reviews to identify enhancement potential
o Inspect physical conditions of warehouses, vehicle fleets, or equipment and order testing, maintenance, repairs, or replacements
o Achieve agreement with end-users on service standards and changes to current arrangements in order that agreed performance criteria are met or exceeded
o Analyze operational and activity reports and recommendations to identify patterns, trends and potential problem areas and instigate appropriate change programs to improve integrity and cost-effectiveness of operations
o Prepares regular and ad hoc higher level reports for manager consideration on a variety of issues setting out details of progress, incidents, initiatives taken and recommending ways forward
? Provide the management with these reports (examples of reports stock movement-expired goods slow & fast moving items and defected goods)
o Plan, develop, or implement warehouse safety and security programs, measures and activities
o Ensure the implementation of health, safety, environmental and quality procedures and systems that protect the company staff and assets and meet their community responsibilities
o Champion an awareness of the need to deliver against agreed service standards, and its positive impact on cost-effectiveness, in order to meet customer expectations
o Provide the receiving officer with allocated bar codes list and supervise the goods numbering
o Control the branches shares distributions as per sales management list
o Follow up with WH regional supervisors the receiving of goods to their end
o Supervise the logistics and truck transfers
o Oversee the pickers and checkers assignments execution to ensure timely delivery
o Counter check on dispatch and orders processing
o Conduct periodic audit inventory to ensure the accuracy of stock quantities as they appear in the system with reporting the differences to the management
o Assist in preparing and implementing the annual inventory in coordination with other regional warehouses to obtain accurate results
? Coordinate with the inventory committee and Internal Auditor in reviewing inventory reports which should be signed and verified by WH manager before they are forwarded to Finance
o Manage the WH expenses to be within the budget
? Report any deviation from approved budgets
? Verify and approve the petty cash
o Ensure self and staff are well presented and observe personal hygiene standards and behaviors that enhance the company image
