Job Description

1 Manage the safe and cost effective maintenance of the building To ensure that the building complies with all relevant legislation, particularly in regard to fire protection measures, Civil testing and safety
2 Define and implement planned and preventative maintenance programmes having due regard to the relevant budget limits set
3 Direct the placing of orders for materials and service contracts as required complying with the above maintenance needs To ensure that supply chain maintenance staff work effectively in the above operations and also oversee the standard of work undertaken
4 Oversee the checking of all invoices and requests for payment made by suppliers and contractors before passing to the Finance for payment
5 Manage reactive and planned maintenance programmes for Civil installations
6 Support the preparation of tender documentation, defining scope of works, monitor standards of workmanship and sign off claims for payment
7 Provide project management of any projects directly relating to the Civil maintenance of the building
8 Manage the contractual relationship with sub Contractor, ensuring that Olive Arabia derives appropriate value and client satisfaction
9 Contribute to the specification of operational requirements aligned to the project Strategy, to ensure effective ongoing building operations once the new building is commissioned
10 Participate in the commissioning of new buildings and advising the service team to ensure that acceptance criteria are met
11 Lead on the implementation and operation of a new comprehensive building management system (BMS)
12 Contribute to the efficient use Electricity and Water services throughout the building
13 Seek and promote measures to reduce the carbon footprint of activities and services operated and managed by the maintenance team
14 Oversee the delivery of Civil services outsourced to third party providers, according to the Agreements, in relation to quality of service, regulation and legislation
15 Liaise with other stakeholders to ensure the smooth operation of all activities within the Building
16 Manage all statutory records and ensure they are collated and available for inspection
17 Act as lineappraisal manager for the team members
18 Seek ways to continuously improve the performance and value for money of the team
19 Conduct periodic reviews of alternative sourcing models for services, benchmarking against what is available from the external market
20 Develop expertise configuration and operation of Building Management Systems in relation to building maintenance and energy management
21 Provide support and guidance to liaise with Building Control, Environment Health, Police, Fire Service and other statutory authorities as appropriate and when required
22 Responsible for assessment, procurement and management of small projects specific to the Operations Department as agreed with the Projects Team
23 Responsible for development of a service charter and service level agreement to monitor key elements of the FM service and reporting to the Contract Manager
24 Responsible for monitoring and reporting of service level agreements and key performance indicators internal and external, also tracking of risksrewards mechanisms
25 Responsible for monitoring of supply partnerscontractors service delivery and customer interface on a day to day basis
26 Responsible for financial tracking and reporting to ensure all services are delivered within agreed budgets and service levels
27 Responsible for providing a continuous improvement review and development of initiatives to improve or rationalise hard services to achieve optimum performance and full customer engagement
