Job Description

The Accounting and Administrative Assistant is responsible for accounting, administrative, financial and document management functions within the organization Heshe will communicate and coordinate internally as well as externally with third parties to ensure companys effective performance
Managing all aspects of financial operation to achieve efficient use of resources
Managing accounting and VAT returns
Responsible for scheduling, issuing payments, monitoring and control of expenses, compiling various consolidated financial reports, statement of accounts, etc
Responsible for tracking and documentation of sales bookings and payments
Responsible for all revenue recognition and reconciliation activities which includes monthly review and analysis of Balance Sheet, compiling back up documentation for reconciliation
Assist in month end and year-end closing process and various month end activities such as Bank Reconciliation Statement, Supplier reconciliation statement, accruals
Manage the day-to-day Petty Cash system
Maintain accurate records of all sales and accounting related activities to achieve operational and strategic goals
Responsible for timely issuance of invoices, debit notes and payment
Responsible for maintenance and management of account payables, account receivables, follow up and collection accounting
Responsible for update and maintenance of the finance and accounting modules of the company ERP software
Making entries into system based on the cashcheque receipts from customers
Maintain the vouchers properly and safely (Filing Accounts related vouchers and supporting)
Support the review and analysis of costs charged to project
Work directly with the commercial team to prepare project cash flow reporting, project cost reporting and review project profit estimates
Support in basic Human Resources tasks
Planning, coordinating and enhancing daily administrative procedures and systems
Maintaining timely renewal of corporate licenses and accounts, managing schedules and deadlines
Ensuring company operations adhere to internal policies, corporate, tax, labour, customs and other local government regulations; monitoring and following changes in local regulations
Providing smooth flow of information within the company to facilitate business operations
Maintaining updated and accurate database and filing system in secure and confidential manner
Liaising with banks, private and governmental key accounts and other parties
Assisting and supporting senior management in daily activity
Reporting to MD regarding financial position of the company, procedure, local regulations, etc
