Job Description

Monitor End to End order 1 Mystery Vendor Inspection2 Site survey for Old RFS buildings to identify majorminor TERs3 CRs in old RFS buildings4 Daily Inspection of FE s for dress code 5 Inspection of daily provisioned Wos(Consumer & Enterprise)6 Inspection for CR completed sites to ensure quality is maintained1 Daily Vehicle allocation Providing daily vehicles to operations staff as per team requirements 2 Daily Data base updating (Daily Vehicle IN and Out Entries,)3 Regular Car inspection to ensure safety and cleanliness to Du standards4 Verification of drivers licence and its validity, vehicle registration cards etc5 Insurance Updating vehicles insurance and ensure validity of Du owned vehicles 6 Fuel card Ensure cards are up to date and used properly7 Maintenance inspection and compliance to safety8 Parking Inspection Inspecting vehicle parking on a regular basis9 Accidents Help, coordinate etc Dealing with accident cases based on police reports and comply with law10 Booking & following for vehicle repairing and maintenance with leasing companies11 Traffic offence Checking, Collecting and Follow&up of traffic fines Updating traffic fines information to the staff to ensure payments on time12 Complaints handling Recording all vehicle users complaints and feedbacks and ensure they are rectified immediately 13 Monitoring car users movement to avoid misuse14 Safety Ensure safety to the staff by providing healthy cars15 Reporting Coordinating with fleet management (Line Manager) on a daily basis Generating reports (Daily, Weekly, and Monthly Reports) to the management Warn, inform on any unprecedented occurrences in advance when needed16 Verifying and preparing GSRN for RentalSalikEppco Petrol invoices on monthly basis 17 Petty cash maintaining petty cash expenditures of fleet management received from HR18 Correspondence Regular verbal or written communication to the users on various issues related to the vehicle usage, warnings, instructions, Traffic Laws etcControl Field force Segregation of Work Orders11 Process customer provisioning requests in a timely and efficient manner 2 Validate documents of each activity within the day the time of distribution of orders, rejecting all the orders with missing documents within the established SLA and changing order status, if complete, from assigned to in progress in order to ensure that the end to end SLA adherence requirements are met3 Raise a red flag to the line manager for every TT logged for system failureissues and keep track of it in order to ensure that the line manager escalates related issues to relevant teamsFollow up with sales and customers on each proposal submitted in order to meet the 48 hours SLA and raise red flag to the management on a weekly basis on each proposal that exceeded SLA through an excel report This ensures that management is aware of the issues affecting Sales Support and escalations can take place accordingly 4 Ensure each order meets the SLA as defined in order to avoid escalations from other teamsPropose and share work around solutions to bypass system limitations and the absence of full automation in order to ensure that the team is fully aware and aligned to the tasks on hand5 Communicates effectively with employees and provide relevant information upon request6 Continually develop own skills and maintain an up to date knowledge of systems and work processes necessary to carry out the roleProcess requests on time and highlight delays to management in order to contribute to maintenance of operational efficiency and ensure customer requests are resolved and provisioned within SLAs7 Continuously improves processes and methods required to effectively perform job at own position8 Provide input regarding improvements in processes and methods within the teamunit Preparing LCM Report 2 Preparing Ageing Report3 Monitoring In Progress Report4 Maintaining Dispatch Board5 Creation of Penalties6 Maintaining Penalties Database7 Checking of Invoices8 Preparation of Weekly Report9 Calling Customers to schedule the appointment10 Preparing Consumer Daily Field Visit Report11 Preparing Provisioning Report12 Preparing Internal KPI Report13 Scheduling the appointment14 Creation and Maintaining of SLA ReportValidation of Work Order Updating the Work Order with all commercial & Technical required informationTracking of work orderWork Order reschedule, Escalation and Handling Exception for the Work OrdersCRR Update, Archiving and Reporting
